The Team page brings together everyone who works for your business. Each person appears on a single line, with their two possible kinds of access:
  • Backoffice — the person signs in to this site, with their email and a password, to manage menus, reports and settings. That access covers every location of the business.
  • Register — the person signs in at a location’s register with a short PIN, to take orders and check out — see signing in at the register. No email needed.
One person can have either, or both. You find the page in two places; it is the same page:
  • in the organization menu, Team lists everyone, across every location;
  • in a location’s menu, Team shows the same people, with only the register access of that location.

Roles

Each kind of access has its own roles. For the backoffice:
  • Owner — the whole backoffice, including billing and managing other owners. The business always keeps at least one owner: the last one can be neither removed nor demoted.
  • Admin — the whole backoffice, except managing owners. An admin counts as a manager at every location.
For the register:

Click Add a person

At the top right of the Team page, click Add a person.

Enter the person

Enter their Name, then their Email. The email is required for backoffice access; for register-only access it is optional and only serves as a contact.

Choose their access

The window asks What should this person be able to do? Tick one kind of access or both:
  • Open the backoffice — pick the Owner or Admin role. An invitation will go out by email.
  • Check out at the register — pick the location and the Manager or Staff role. A PIN will be generated.
Click Add.

Pass along what was created

The last window sums up:
  • the invitation that went out by email, with the link to copy if the email does not arrive (spam folder, typo) — the person must sign up, or sign in, with the invited address;
  • the PIN, to pass along to the person for the register.
The PIN is shown only once. If it is lost, nobody can retrieve it: reset it from this page.
The invitation is valid for 48 hours. A new register team member can take up to 30 seconds to appear on the roster; the list updates on its own.

Reading the list

For each person, the page shows:
  • Person — their name and email;
  • Backoffice — their Owner or Admin role, or Invitation pending with the expiry date, or a dash if they do not have that access;
  • Register — one badge per location with their Manager or Staff role. The badge reads PIN not set until a PIN has been issued: the person cannot sign in at the register.
The Everyone, Backoffice and Register tabs filter the list, and the search field finds a name or an email.

Complete someone’s access

The menu at the end of the line adapts to the person:
  • Invite to the backoffice — for someone with register access only and a contact email.
  • Give register access — for someone with backoffice access only. A PIN is generated for the chosen location.
Either way, the Add a person window opens pre-filled.

Reset a PIN

Open the person's ⋯ menu

Choose Reset PIN (or Set a PIN if they have none yet). From the organization page, the location name is shown next to it.

Choose the new PIN

Enter a new PIN (4 digits for staff, 6 for a manager or owner), or leave the boxes empty to generate one at random. Click Reset PIN.

Pass along the new PIN

The new PIN is shown once in the One-time PIN window. Copy it and pass it along to the person.
Resetting invalidates the old PIN immediately. If the person is mid-service, warn them first: their next sign-in will use the new PIN.
An owner can set or reset anyone’s PIN; a manager only the staff’s.

Remove an access

Each kind of access is removed separately, from the menu:
  • Remove backoffice access — the person can no longer sign in to the backoffice. Their register access, if any, is untouched.
  • Remove from the register — the person can no longer sign in at that location’s register and their PIN is revoked. Their backoffice access, if any, is untouched. Their history (sales, refunds) is kept.
A few guard rails apply: you cannot change your own access, an admin cannot touch an owner, and the last owner is untouchable. Only an owner of the location can remove someone from its register.
Removing register access reaches the registers on the next sync. Someone already signed in stays on duty until the automatic lock; their PIN stops working at the next sign-in.

Track invitations

A person who was invited but has not accepted yet appears with the Invitation pending badge. Their menu lets you:
  • Copy invitation link — to pass along if the email did not arrive;
  • Resend invitation — sends the email again and extends the invitation by 48 hours, without changing the link;
  • Cancel invitation — any link already shared stops working.
